Management Assistant 

 

Key responsibilities
  • Agenda & Meeting Management: Coordinate and manage the schedules, appointments, and meetings of the Managing Director (and other managementteam members when requested). Efficiently prioritize conflicting demands to optimize time and resources. Prepare meeting materials, agendas, and minutes. Collaborate with relevant stakeholders to gather necessary information for meetings. Follow up on action items and ensure deadlines are met.
  • Travel & expenses coordination; plan, arrange, and coordinate all travel-related activities for the Managing Director, including flights, accommodations, transportation, and any necessary visas or travel documents. Receive and process his business expense reports, ensuring accuracy and compliance with company policies. Verify receipts, invoices, and supporting documentation for expense claims. Prepare expense reports and submit them for approval, keeping detailed records of expenses.
  • Internal Communication: Serve as a liaison between the Managing Director and the managementteam, ensuring effective and timely communication across all levels of the organization.
    1. Intranet Management: Maintaining and updating the company's intranet platform in line with the communications & editorial plan (written by you) with relevant content, resources, and documents to facilitate easy access to essential information. Propose and edit content for internal news highlighting achievements, events and other relevant information to foster a sense of community and engagement among employees.
    2. Email Communications: Drafting and sending company-wide emails or targeted communications to specific departments or teams, ensuring clear and concise messaging.
    3. Event Coordination: Organizing internal events, town halls, or webinars to promote team building, share updates, and encourage open communication between management and employees.
    4. Brand Alignment: Ensuring that internal communications align with the company's mission, vision, and values, fostering a cohesive organizational culture.
  • Data Management: Maintain and organize confidential files, documents, and records. Ensure data accuracy and accessibility for quick retrieval as needed.
  • Projects: Participate in and support various special projects and initiatives as assigned by the Managing Director and managementteam members. For example; customer visits, workshops, events, company programs and space planning/office design for which suppliers, logistics, facilities, planning and communications support is required. Work closely with the stakeholders to manage project timelines, resources, and deliverables, ensuring successful project outcomes.

 

You bring these skills, experience & education
  • Proven experience as an executive assistant, preferably in a corporate setting (minimum of 1 year experience in a corporate environment).
  • Exceptional organizational skills with the ability to handle competing priorities effectively.
  • Strong verbal and written communication skills to facilitate smooth internal communication in both Dutch and English.
  • Proficient in using productivity tools, such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, Sharepoint), and familiarity with adopting new (online) tools.
  • Excellent attention to detail and a commitment to maintaining confidentiality.
  • Demonstrated problem-solving abilities and a proactive approach to resolving issues.
  • A professional and approachable demeanour with the ability to interact with all levels of staff and external stakeholders.
  • Flexibility to adapt to changing priorities and handle unexpected challenges independently.
