Talent Acquisition Coordinator

Summary

We are seeking a detail-oriented and proactive Talent Acquisition Administrator / Coordinator to provide essential administrative and operational support to our Talent Acquisition (TA) team. This role plays a critical part in delivering smooth and professional candidate experience across all stages of the hiring processes, especially during pre-employment activities such as interview schedules, follow up communications, background checks, drug screening, and medical exams. Key responsibilities
  • Interview Coordination & Candidate Experience
  • Schedule virtual and onsite interviews with candidates, hiring managers, and interview teams.
  • Coordinate candidate travel arrangements when applicable.
  • Serve as a point of contact for candidates, providing timely updates and clear communication throughout the hiring process.

Recruitment & process support

  • Post and update jobs across internal and external platforms.
  • Maintain accurate and up-to-date records in the Applicant Tracking System (ATS).
  • Initiate pre-employment processes upon acceptance.
  • Support recruiting events, job fairs, and internship program logistics.

Pre-Employment screening & onboarding coordination

  • Initiate and track pre-employment background checks and drug screenings in collaboration with external vendors.
  • Schedule and coordinate pre-employment medical exams and physicals as required for manufacturing roles.
  • Follow up on outstanding screening items to ensure timely candidate clearance.
  • Communicate results and next steps to hiring managers and HR business partners, maintaining confidentiality at all times.
  • Ensure all required pre-employment documentation is completed and in compliance with company standards.

Vendor & reporting management

  • Liaise with recruitment vendors and screening providers to resolve issues and track performance.
  • Process invoices and manage contracts or service agreements as needed.
  • Assist in compiling recruitment metrics and reports for the TA team and business leaders.
  • General TA Team Support
  • Assist with documentation of TA processes and standard operating procedures.
  • Support internal team meetings, process improvement efforts, and administrative tasks as required.

You bring these skills, experience & education
  • 2+ years of administrative or coordination experience, preferably in Talent Acquisition or Human Resources.
  • Associate’s degree required; Bachelor’s degree preferred in Human Resources, Business Administration, or a related field.
  • Familiarity with pre-employment processes such as background checks, medical exams, and onboarding.
  • Strong organizational skills with ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills.
  • High level of professionalism and discretion when handling sensitive information.
  • Proficient in Microsoft Office Suite (Outlook, Excel, PowerPoint, Teams, Word).
  • Experience supporting hourly and salaried recruitment in a corporate or manufacturing environment.
  • Familiarity with compliance requirements related to hiring and onboarding.
  • Experience using an ATS or HRIS (Success Factors experience is a plus).
