Equipment Customer Service Representative
Salary: $21.63-$26.44/hr
This role is onsite in Norklake, IL.
Summary: The Equipment Customer Service Representative will develop and maintain positive customer relations with both internal and external customers to ensure customers’ requests are handled appropriately and in a timely manner. The role will have main responsibility for working closely with Scholle IPN’s spare parts department to support our equipment business.
Key Duties and Responsibilities
- Assists customers by phone, email or fax regarding orders and general customer inquiries.
- Take proactive approach to scheduling issues and possible delivery delays, advising customers of long lead times, for future planning of part orders
- Quote charges for machine parts, based on current approved pricing.
- Develop strong, positive communication links with customers.
- Process external customer orders and invoices within ERP system
- Issue RMA’s (Return Merchandise Authorization) and follow thru with credit process, once product is returned for evaluation.
- Adjusts complaints concerning billing discrepancies.
- Act as liaison between external and internal customer interface.
- Interact with stockroom & shipping departments on a daily basis.
- Gets quotes and arranges for miscellaneous shipments (e.g. machines)
Other Responsibilities:
- Serve as backup as needed for shipping and receiving area.
- Courier packages, to Fed Ex or UPS office, when necessary.
- Create export documents for all Scholle international divisions and customers.
- Print packing list, bill of lading and invoicing within ERP system.
- Provides support to the accounting department.
- Resolve all problems that may arise after product has been shipped (late arrivals, non-arrivals, shortages and damages).
- Provide customers and personnel with freight quotes, shipment tracing, proof of delivery and printed invoice when requested.
- Review departmental metrics to measure individual performance and identify areas for improvement.
- Perform other clerical tasks as needed for department efficiency, such as inventory adjustments, pulling production orders, pulling sales order if necessary, and any other needed function within the department.
You bring these skills, experience & education
Education
- High school diploma / GED required.
Work Experience and/or Skills
- 2-3 years of previous Customer Service in Manufacturing or Warehouse required.
- Develop strong, positive communication links with customers.
- Proficiency with Microsoft Word and Microsoft Excel.
- Familiarity with enterprise resource planning (ERP) systems preferred.
Physical Requirements
- Must be able to move and/or lift up to 50 pounds occasionally
- Frequently standing, walking and sitting
- Frequently required the use of hands to finger, feel, reach or handle machinery
- Frequently bend, stoop and reach
- Visual Acuity (VA)

- Moderate working conditions
- Exposure to variable noise levels
- Often exposed to moving mechanical parts
